Simplified Procedure for Approving Business Travel

Only the German-language version is legally binding.

 

The University Executive Board adopted a simplified procedure for business travel on 7 August 2025, effective as of February 2026, and simultaneously implemented digitally.

For Employees in Academic Departments and Artistic Faculties:

For Professors

Travel required for the performance of official duties to all business locations, both domestic and international, falls under the blanket approval (only in german) granted by the President for this group of personnel. This blanket approval is subject to the condition that the trip is reported to the respective Dean and the managing head of the respective institute. In the notification, it must be stated that teaching is secured during the period of the business trip, that sufficient funds are available for the trip, that occupational health and safety measures — if required due to the travel destination — are completed prior to departure, and that travel warnings issued by the German Federal Foreign Office are observed.

For Employees in Academic Departments and Artistic Faculties

  • Approval of domestic business travel and travel to countries within the European region (with the exception of currently Belarus, Russia, Turkey, and Ukraine) falls under the responsibility of the direct supervisor, potentially with financial review by the budget officer assigned to the respective cost center.
  • Business travel to countries outside Europe is approved by Department PA 5 of the Personnel Affairs Division, following review by the direct supervisor and after appropriate evaluation.

 

For Employees in Central Institutions and Facilities:

For Heads of Institution/Facility

Domestic business travel is approved under a blanket authorization granted by the University Executive Board (only in german). Business travel abroad continues to be approved by Department PA 5 of the Personnel Affairs Division, following appropriate evaluation.

For Employees in Central Institutions and Facilities

  • Approval of domestic business travel and travel to countries within the European region (with the exception of currently Belarus, Russia, Turkey, and Ukraine) falls under the responsibility of the direct supervisor, potentially with financial review by the budget officer assigned to the respective cost center.
  • Business travel to countries outside Europe is approved by Department PA 5 of the Personnel Affairs Division, following review by the direct supervisor and after appropriate evaluation.

 

For Employees in Central Administration:

For Director and Head of Department:

Domestic business travel is approved under the blanket authorization granted by the University Chancellor (only in german). Business travel abroad continues to be approved by Department PA 5 of the Personnel Affairs Division, following review by the direct supervisor and after appropriate evaluation.

For Employees in Central Administration

Business travel, both domestic and international, continues to be approved by Department PA 5 of the Personnel Affairs Division, following review by the direct supervisor and after appropriate evaluation.

Digital Process „Submit/show business travel authorization request

Starting in February 2026, the above-described procedure for reporting and approving business travel will be implemented digitally as an additional process of the Directorate for Personnel and Legal Affairs via JobRouter.
